1. Who is Sopu Academy OY?

Sopu Academy ​is a company based in Helsinki, Finland that offers training and consultancy services to youth about the topics such as negotiation, mediation, and dispute resolution. Sopu Academy believes negotiation skills are fundamental for every individual to pursue a meaningful, balanced and happy life.

When you send us an application, we collect your

  • Your name and contact information
  • Your answers to the application-specific questions in the application form (for example, motivation letter)

What is the legal basis?
It is necessary for us to process your information in order to take steps prior to provide you our educational activities (for example online courses) that you have applied for.

In case you complete your application through a third party (for example your school), we may receive your information from them as well.

What is the legal basis?
In order to make the application process easier for the candidates, we may collaborate with selected schools. In this case, participants will be informed about the course and our privacy policy through these partner schools.

3. Do we share your information with any third party?

When we organise educational activities in collaboration with a third party partner (such as a Aalto University Junior), we may share your information with them to be able to deliver the learning experience we promised. We share your information with storage service providers and project management applications which are the following:

Google Drive by Google, Inc. (“Google”)​ – We use this service to store information about you. This information will be transmitted to and stored by Google on servers in the EU or USA. Google adheres to the EU-US ​Privacy Shield Framework​ which means data transfer outside the EU is acceptable. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. MailChimp (​The Rocket Science Group LLC d/b/a MailChimp​)​ – This is the marketing automation tool we use to send automated emails. MailChimp’s servers are located in the United States, so your information may be transferred to, stored, or processed in the United States. MailChimp participates in and has certified its compliance with the EU-U.S. Privacy Shield Framework. MailChimp may share your information with their third-party service providers for the provision of services to them and in a manner that is consistent with their ​privacy policy​.

All these service providers listed above just process the data on our behalf, so they have the role to be the data processor of your data.

4. Data security and access control

We have put in place systems to safeguard the information you provide us. We will never provide access to our databases to any third party, except to the extent necessary to conduct the operations of the program application process explained in Section 3. We will not sell or rent any of your information to anyone.

5. Erasure of your information

We will, by default, store your information for 3 years from the date of last contact with you. You have the right to object to this and opt-out from this practice.

You have the right to be forgotten. When you ask to be forgotten meaning that you ask for the complete erasure of your information, we will erase the information without undue delay, including all backups, local and physical copies.

  • You have the right to receive the data we have about you and to transmit it to another entity.
